Complaints and Refunds in Chinese — State the Problem Calmly
State the fact, say what you want, then show the order record or receipt. That three-step order is clearer than translating an emotional complaint — and in Chinese it also sounds more reasonable, because you have named a concrete outcome instead of only expressing frustration.
Step 1: name the problem
| Chinese | Pinyin | Meaning |
|---|---|---|
| 这不是我点的。 | Zhè bú shì wǒ diǎn de. | This is not what I ordered. (food, delivery apps) |
| 这不是我买的。 | Zhè bú shì wǒ mǎi de. | This is not what I bought. (goods) |
| 这个坏了。 | Zhège huài le. | This one is broken. |
点 (diǎn) is “to order” from a menu or a food-delivery app; for a purchase in a shop or an online store, use 买 (mǎi) or 订 (dìng) instead.
Step 2: say what you want, Step 3: show the record
| Chinese | Pinyin | Meaning |
|---|---|---|
| 我想换一个。 | Wǒ xiǎng huàn yí ge. | I would like an exchange. |
| 可以退款吗? | Kěyǐ tuìkuǎn ma? | Can I get a refund? |
| 这是我的订单。 | Zhè shì wǒ de dìngdān. | This is my order. |
Two verbs carry most of the work: 换 (huàn) is “exchange it for another one” and 退 (tuì) is “return it / give the money back”. 退款 (tuìkuǎn) is the refund itself; 退货 (tuìhuò) is returning the goods. Asking for the wrong one is the most common mix-up here.
Conversation: report the problem
Customer: 这不是我点的。我想换一个。
(Zhè bú shì wǒ diǎn de. Wǒ xiǎng huàn yí ge.)
Staff: 好的,请给我看一下订单。
(Hǎo de, qǐng gěi wǒ kàn yíxià dìngdān.)
Notice that the staff member’s first move is to ask for the order. Have it open before you start speaking, and the whole exchange gets shorter.
Conversation: ask what happens next
Customer: 如果不能换,可以退款吗?
(Rúguǒ bù néng huàn, kěyǐ tuìkuǎn ma?)
Staff: 可以,我们会原路退款。
(Kěyǐ, wǒmen huì yuánlù tuìkuǎn.)
Customer: 好的,大概需要几天?
(Hǎo de, dàgài xūyào jǐ tiān?)
原路退款 (yuánlù tuìkuǎn) means the money goes back by the same route you paid — card, wallet or app balance. Always finish with the timing question 大概需要几天? (Dàgài xūyào jǐ tiān?) so you know when to follow up.
Following up politely
If nothing has happened by the promised date, repeat the facts rather than escalating the tone.
| Chinese | Pinyin | Meaning |
|---|---|---|
| 我还没有收到退款。 | Wǒ hái méiyǒu shōudào tuìkuǎn. | I have not received the refund yet. |
| 可以帮我查一下吗? | Kěyǐ bāng wǒ chá yíxià ma? | Could you check for me? |
| 可以发消息给我确认一下吗? | Kěyǐ fā xiāoxi gěi wǒ quèrèn yíxià ma? | Could you message me to confirm? |
请 (qǐng) plus 帮 (bāng) keeps a follow-up sounding like a request for help rather than an accusation, which is usually the faster route to a resolution.
Takeaway
- Show the receipt, order screen or photo first — evidence moves the conversation faster than adjectives.
- Say which outcome you want: 换 (huàn) for an exchange, 退款 (tuìkuǎn) for a refund.
- Refund and exchange rules depend on the seller and the platform; ask rather than assume, and get the answer in writing.
