Chinese Customer Service — Welcome, Check, Pay and Follow Up
Service Chinese does not need to be elegant. It needs to be fast, polite and honest about what you know. Do not guess about stock, policy or timing — saying you will check is better than promising the wrong thing, and it is easier to say in a second language.
Build a small set of fixed sentences that match your own shop, product names and rules, and use 您 (nín) rather than 你 (nǐ) with customers.
Greeting and finding out what they need

您在找什么? (Nín zài zhǎo shénme?) does a lot of work: it lets the customer name the item, so you do not have to describe your whole range. Pointing while you speak is entirely normal and keeps sentences short.
Stock and product questions
- 这个在二楼。 (Zhège zài èr lóu.) — This is on the second floor.
- 现在没有货。 (Xiànzài méiyǒu huò.) — It is out of stock right now.
- 我帮您确认一下库存。 (Wǒ bāng nín quèrèn yíxià kùcún.) — I will check the stock for you.
- 这个颜色还有吗? (Zhège yánsè hái yǒu ma?) — Do you still have this color?
- 您可以试一下。 (Nín kěyǐ shì yíxià.) — You are welcome to try it.
库存 (kùcún) is stock or inventory. When an item is unavailable, check what alternatives you can actually offer — a different size, a restock date, an order — before you reply, so the customer leaves with an option rather than a “no”.
The pattern 我帮您…一下 (wǒ bāng nín… yíxià), “let me … for you”, is worth memorizing as a whole. 一下 (yíxià) makes the action sound quick and light.
Payment and saying goodbye

Say the total while the amount is visible on the screen, and only offer the payment methods you actually accept. Three words get confused here: 小票 (xiǎopiào) is the till receipt, 收据 (shōujù) a written acknowledgement of payment, and 发票 (fāpiào) an official tax invoice that a customer may need for expenses — ask 您需要发票吗? (Nín xūyào fāpiào ma?) if your shop can issue one. If numbers are the part you lose, Chinese numbers is the drill that fixes it — prices are where service Chinese most often breaks down.
When something goes wrong
- 不好意思,请您稍等一下。 (Bù hǎoyìsi, qǐng nín shāo děng yíxià.) — I am sorry, please wait a moment.
- 我马上确认。 (Wǒ mǎshàng quèrèn.) — I will check right away.
- 我叫经理过来。 (Wǒ jiào jīnglǐ guòlai.) — I will get the manager.
- 请您再说一遍。 (Qǐng nín zài shuō yí biàn.) — Could you say that again, please?
Asking a customer to repeat themselves is not a failure — answering the wrong question is. If you need to hear it again, checking and clarifying has more ways to do it without breaking the tone.

Promise the next action, not an answer you do not know
Customers need to know what will happen next. 我帮您确认一下,马上回来告诉您。 (Wǒ bāng nín quèrèn yíxià, mǎshàng huílái gàosu nín.) is better service than guessing about stock, policy, or timing. If you must return later, say exactly when and how you will follow up.
When the answer depends on a policy, show the written rule or direct the customer to the official channel. A calm explanation plus a concrete next step protects trust better than a quick but uncertain answer.
